World Wide Events Privacy Policy

GENERAL

The purpose of our platform is to ensure our attendees make the most out of our Forums, an online event portal for delegates to manage their Forum experience through communication and connection. Central to this mission is our commitment to be transparent about the data we collect, how it is used, and where we share it.

This Privacy Policy applies when you use our platform services (described below). We give you control over what data we collect, how we use it and who we share it with as described in this Privacy Policy and Cookie Policy.

  • Introduction

Our platform is a closed-audience social network and online platform for professionals attending a Forum with Worldwide Events. People use our services to prepare and manage their experience, as well as to contact and be contacted by industry peers. Our Privacy Policy applies to any Delegate attending an event with Worldwide Events. Our registered users (“Delegates”) share their professional identities, engage with their network, access relevant content, and create business and networking opportunities. Content and data on some of our Services is viewable to non-Delegates (“Visitors”) who may attend a Forum but not participate in meetings. We use the term “Designated Countries” to refer to countries in the European Union (EU), European Economic Area (EEA), and Switzerland.

 

  • Services

 

This Privacy Policy, including our Cookie Policy, applies to your use of our Services. This Privacy Policy applies to our platforms desktop and mobile apps and other event-related communications and services, including notifications sent by Worldwide Events staff or by other Delegates.

 

  • Data controllers and contracting parties

 

Worldwide Events will be the controller of your personal data provided to, or collected by or for, or processed in connection with, our Services; you are entering into a User Agreement with Worldwide Events. As a Delegate of Worldwide Events Forums, the collection, use and sharing of your personal data is subject to this Privacy Policy (which includes our Cookie Policy and other documents referenced in this Privacy Policy) and updates.

 

  • Change

 

Changes to the Privacy Policy apply to your use of our services after the “effective date.” Worldwide Events (“we” or “us”) can modify this Privacy Policy, and if we make material changes to it, we will provide notice through our services, or by other means, to provide you the opportunity to review the changes before they become effective. If you object to any changes, you may close your account. Your continued use of our Services after we publish or send a notice about our changes to this Privacy Policy means that the collection, use and sharing of your personal data is subject to the updated Privacy Policy.

        1. Data You Provide To Us

You provide data to create an account with us.

          • RegistrationTo register for an event with Worldwide Events you need to provide data including your name, email address and/or mobile number, and your business details. The creation of an account in your name is a condition of your attendance to our Forums. The basic information required to create this account are your name, email address, company name and attendance details. Upon activation of your account you are also prompted to create a password for your own use. You create, access and control the information entered in your profile.
          • ProfileYou have choices about which information you display on your profile, according to your profile type. This type is set for you upon the creation of your account and can be changed at any time, upon request. Provision of your business details on your profile is a condition to your attendance, unless this information is not public. Your attendance at a Forum is a professional commitment in which you agree to publish your business details in return for access to other Delegates’ business information.

            Some profile fields are not compulsory; however, profile information helps you get more from your Forum, including the most relevant meetings and activities. Please do not post or add personal data to your profile that you would not want to be publicly available.

          • Posting and uploadingWe collect personal data from you when you provide, post or upload it to our Services, such as when you fill out a form, (e.g., with your flight details), respond to a survey, or submit your dietary requirements. You don’t have to post or upload additional personal data apart from the minimums required to attend the event. However, a more complete profile maximises the benefits you receive from networking at the event.
        1. Service use

We log your visits and use of our platform, including our mobile app. We log usage data when you visit or otherwise use our platform, including our site and app, such as when you view or click on content (e.g., meeting preferences, ratings, etc.), install or update our mobile app. We use log-ins, cookies, device information and Internet protocol (“IP”) addresses to identify you and log your use through Google Analytics

        1. Cookies, web beacons and other similar technologies

We collect data through cookies and similar technologies. As further described in our Cookie Policy, we use cookies and similar technologies (e.g., web beacons, pixels, ad tags and device identifiers) to recognise you and/or your device(s) on, off and across our platform brands and devices. You can control cookies through your browser settings and other tools. You can also opt out from our use of cookies and similar technologies that track your behaviour on other sites for third party advertising.

        1. Your device and location

We receive data from your devices and networks, including location data. When you visit our platform (including our plugins or cookies or similar technology on the sites of others), we receive information about your IP address, proxy server, operating system, web browser and add-ons, device identifier and features, and/or ISP or your mobile carrier. If you use our platform on a mobile device, that device will send us data about your location based on your phone settings. We will ask you to opt in before we use GPS or other tools to identify your precise location.

        1. Messages

If you communicate through our platform, we learn about that. We collect access information about you when you send, receive or interact with messages sent by Worldwide Events staff or other Delegates. We do not scan or learn about the content of your correspondence but only track open rates and access to the Messages page of the our platform website and app.

        1. Other

We are improving our platform, which means we get new data and create new ways to use data. Our platform is dynamic, and we often introduce new features, which may require the collection of new information. If we collect materially different personal data or materially change how we use your data, we will notify you and may also modify this Privacy Policy.

  • How we use your data

We use your data to provide, support, personalise and develop our platform and our events. How we use your personal data will depend on which Forum you attend and how you use our platform. We use the data that we have about you to provide and personalise our platform so that it can be more relevant and useful to you and others. Our Platform our platform helps you connect with others, find (and be found for) business opportunities, stay informed, and be more productive. We use your data as a condition to your attendance to our events and your access to our platform. Our platform allows you to stay in touch and up to date with colleagues, partners, clients, and other professional contacts. You can send a direct message to any Delegate who has attended an event in common with you or request to meet with them in the weeks preceding any Forum you are both attending. Our platform allows you to collaborate with colleagues, search for and message potential clients, customers, partners and others, request meetings, and manage the data of Delegates you met at past events.

        1. Communications

We will contact you via email, mobile phone, messages to our platform inbox, and other ways including text messages and push notifications. We will send you messages about your attendance or important information regarding your attendance at an event. We also send messages about how to use our platform, reminders, promotional messages from our partners and occasionally us. Please be aware that you cannot opt out of receiving programme-related messages from us during events. We will also contact you in the build up to events to take you through each stage of the preparation of your Forum: updating your profile, selecting your meeting preferences, accessing your provisional meeting schedule and any reminders of these, as required. Developing our platform and research Service Development We use data, including survey feedback, to conduct research and development for the further development of our platform in order to provide you and others with a better, more intuitive and personalised experience, drive engagement on the platform, and help connect Delegates with each other and to networking opportunities. Surveys Polls and surveys are conducted by us through Survey Monkey and published on our platform. You are not obligated to respond to these surveys, and you have choices about the information you provide.

        1. Customer supportWe use data to help you and fix problems; to investigate, respond to and resolve complaints and our platform issues (e.g., bugs).
        2. Security and investigationsWe use data for security, fraud prevention and investigations. We use your data if we think it’s necessary for security purposes or to investigate possible fraud or other violations of our User Agreement or this Privacy Policy and/or attempts to harm our Delegates.
  • How we share information

Any data that you include on your profile will be seen by others. Profile Your profile is fully visible to all Delegates who have attended at least one event in common with you. Search types (e.g., by name or use of filters) impact the availability of your profile.

        1. Service providersWe may use other service providers to help us support and develop our platform (e.g., maintenance, analysis, audit, marketing and development). They will have access to your information as reasonably necessary to perform these tasks on our behalf and are obligated not to disclose or use it for other purposes.
        2. Legal disclosuresWe may need to share your data when the law requires it; or to protect the rights and safety of you, us, or others. It is possible that we will need to disclose information about you when required by law, subpoena, or other legal process or if we have a good faith belief that disclosure is reasonably necessary to (1) investigate, prevent, or take action regarding suspected or actual illegal activities or to assist government enforcement agencies; (2) enforce our agreements with you, (3) investigate and defend ourselves against any third-party claims or allegations, (4) protect the security or integrity of our Service (such as by sharing with companies facing similar threats); or (5) exercise or protect the rights and safety of Delegates, personnel, or others. We attempt to notify Delegates about legal demands for their personal data when appropriate in our judgment, unless prohibited by law or court order or when the request is an emergency. We may dispute such demands when we believe, in our discretion, that the requests are overbroad, vague or lack proper authority, but we do not promise to challenge every demand.
        3. Change in control or saleWe may share your data when our business is sold to others, but it must continue to be used in accordance with this Privacy Policy. We can also share your personal data as part of a sale, merger or change in control, or in preparation for any of these events. Any other entity which buys us or part of our business will have the right to continue to use your data, but only in the manner set out in this Privacy Policy unless you agree otherwise.
  • Your choices and obligations
        1. Data retentionWe keep most of your personal data for 3 years after your last event with us. We retain your personal data while your account is in existence or as needed to provide you service in our platform. This includes data you or others provided to us and data generated or inferred from your use of our platform. Even if you only use our platform to select your meeting preferences for an event every few years, we will retain your information and keep your profile open until you decide to close your account, or until it has been 3 years since you last logged in or attended an event with us (whichever is the latest).
        2. Rights to access and control your personal dataWe provide options about the collection, use and sharing of your data, deleting your data and checking for corrections to your profile before each event you attend with Worldwide Events. For personal data that we have about you:
          • Delete data: You can ask us to erase or delete all or some of your personal data (e.g., if it is no longer necessary to provide Services to you).
          • Change or correct data: You can edit your personal data through your account. You can also ask us to change, update or fix data such as your email address and your profile type.
          • Right to access and/or take your data: You can ask us for a copy of your personal data in machine-readable form.
          • Visitors can learn more about how to make these requests here. You may also contact us using the information below, and we will consider your request in accordance with applicable laws.
        3. Account closureWe keep some of your data even after you close your account. If you choose to close your account, your personal data will generally stop being visible to others within 24 hours. We delete closed account information within 30 days of account closure, except as noted below. We retain your personal data after you have closed your account. Once your account is closed, we will keep the data relative to your meetings for 3 years until this data is deleted. This is to ensure the quality of future meetings. The rest of your personal details will be deleted upon closure of your account.
  • Other important information
      1. SecurityWe monitor for and try to prevent security breaches. Please use the security features available through our platform. We implement security safeguards designed to protect your data, such as HTTPS. We regularly monitor our systems for possible vulnerabilities and attacks. However, we cannot warrant the security of any information that you send us. There is no guarantee that data may not be accessed, disclosed, altered, or destroyed by breach of any of our physical, technical, or managerial safeguards. You will see the last logged in date and time each time you access your account in the bottom-right corner of your page.       2. Cross-border data transfersWe store and process data inside the United Kingdom and currently do not transfer data across boarders.
      3. Lawful bases for processingWe have lawful bases to collect, use and share data about you. You have choices about our use of your data. At any time, you can withdraw consent you have provided by contacting us. We will only collect and process personal data about you where we have lawful bases. Lawful bases include consent (where you have given consent), contract (where processing is necessary for the performance of a contract with you (e.g. to deliver the meetings at a Forum you will attend) and “legitimate interests”. Where we rely on your consent to process personal data, you have the right to withdraw or decline your consent at any time, and where we rely on legitimate interests, you have the right to object.       4. Direct marketing and do not track signalsWe currently do not share personal data with third parties for their direct marketing purposes without your permission.

What is Do Not Track (DNT)?
